Terms and Conditions – Space Planning, Design and Fit-Out Services

These terms apply to all space planning, design, and fit-out services provided by [Your Company Name].

1. Service Overview

We provide a complimentary office space planning service to support clients in designing their workspace and specifying suitable furniture solutions.

For projects within our local area, we also offer a full design, survey, and fit-out service, including supply and installation.

All services are offered at our discretion and may be declined, limited, or withdrawn at any stage.

2. Scope of Services

2.1 Nationwide Space Planning (Remote)

Our remote space planning service includes:

• Up to 2 layout options, with visuals where appropriate
• Furniture layouts and specifications, including budget pricing
• Up to 3 revisions

This service is based entirely on the information provided by the client.

2.2 Local Design and Fit-Out (Within 75-Mile Radius)

For projects within approximately a 75-mile radius, we may provide:

• Site visits and measured surveys
• Detailed space planning and design development
• Project coordination
• Supply and installation of furniture and associated works

These services may be subject to separate project agreements depending on scope and complexity.

3. Timescales

We aim to issue initial space plans within 2 working days.

Timescales are indicative only and may vary depending on project complexity and current workload.

4. Client Responsibilities

By providing information to us, you confirm that:

• You have the authority to share all drawings, plans, and supporting information
• All measurements and details supplied are accurate and complete
• You understand that all work is based entirely on the information provided

Clients are asked not to include sensitive or security-critical information unless it is necessary for the project.

All information is handled in accordance with our Privacy Policy.

5. Use and Accuracy of Drawings

All layouts, visuals, and specifications are provided as a design guide only.

They:

• Must be checked and verified on site prior to any implementation
• Are not intended to be construction or technical drawings

We accept no responsibility for inaccuracies resulting from incomplete or incorrect information supplied.

6. Service Area

Remote space planning is available throughout the UK.

Site-based design, survey, and fit-out services are offered within our local service area, typically within a 75-mile radius.

7. Commercial Basis

Our space planning and design services are provided with the expectation of supporting a furniture supply or fit-out project through us.

We reserve the right to decline or discontinue work where a project is not progressing on this basis.

8. Intellectual Property

All drawings, layouts, and specifications remain our property.

They are produced solely for use in connection with a project with us and may not be shared, reused, or used to obtain pricing or services from third parties without prior written consent.

9. Submission of Information

Project information and drawings may be submitted via email or through our website.

By submitting materials, you consent to their use for the purpose of providing our services, in line with our Privacy Policy.

10. Confidentiality

We treat all submitted drawings and project information as confidential and use them only for the purpose of delivering our services.

11. Client-Supplied Contracts and Additional Terms

We do not undertake work under client-issued terms, contracts, purchase orders, or conditions unless:

• These are disclosed in full prior to any design work commencing, and
• They are formally reviewed and agreed by us in writing

The commencement of any design work, including space planning, layouts, or proposals, does not constitute acceptance of any client terms.

Where client-issued terms or additional conditions are introduced after design work has started, or are not disclosed at the outset, we reserve the right to:

• Decline to accept such terms
• Pause or withdraw from the project
• Charge for all design work completed, including planning, drawings, and administration, whether or not the project proceeds

Where additional time, risk, or cost is incurred in reviewing or working under client-issued terms, we reserve the right to apply additional charges.
